Xero - tips and tricks

Could someone help me a little please with how to enter my arla milk statements into xero?
Just some simple instructions till I figure it all out properly lol... I’m getting the hang of it bit by bit :)

I dont supply Arla but assuming there is not much difference in the way the milk statement is set out, I have a repeating invoice set up so that a draft invoice is created at the end of each month. The first line is the basic milk sale litres in the quantity then ppl in the amount, underneath each of the additions and subtractions has its own line (litres then ppl again). So in my case Butterfat, SCC, volume bonus, seasonality = or - and and finally the AHDB deduction which, I just use the total for this, dont forget the VAT.

This normally balances at the end, so normally I just go to the draft attach the statement from the processor (dont forget you can email it into Xero) and fill in the litres and price for each line, approve and its done.

It takes less time than I have taken to type this.

Additions - Invoice cost of machine + vat a minus
Loan introduced - The amount financed a plus
Bank charges - The arrangement fee a minus
Loan repayment - the initial payment a minus

Thats the idea.The amount at the bottom should be the cheque you gave to the finance company
The top line is the only one vatable

( If a part ex is involved - another line
Disposals - invoice cost + Vat - a plus )

Has anybody else struggled to submit there VAT return now it’s all digital?
I can not submit mine, first the hmrc website was down, then it was under maintenance, it won’t accept me or submit my return.

When I get my £100 pound fine I will shove it up their arse and issue them with £100 fine for bolloxing the whole job up

Via Xero? I did it last week and went through, no problem.

Have you gone through and done all the activation?

Tried to register last week for Mtd on website, went through it all and after submitting it, it said unable to proceed due to busy period of tax returns Try applying after June 16th. It’s a joke.

Why I did my reg back in March....
Last submission for the quarter ending Feb was done on the existing system, so much like Clive thought it best to move over now. Hence (ought to be) plenty of time to get any teething issues out of the way.

No time like the present as they say. :)

Does anyone pay for a Premium subscription?

I’ve made quite a big effort over the past few months to get everyone to email pdf bills directly to Xero but it seems you need a Premium sub for it to automatically populate the data for you. Does it work well? Is it worth the extra £72/year.

I tried Receipt Bank but thought it was a PITA when you want to allocate a payment to multiple codes. I also like quite a lot of detail for quick analysis.

I use Ezzybills which does cost me £150 a year but it’s a price for the number of invoices you do so can be had cheaper.

I didn’t like the idea of people directly emailing into the accounts. I have it all setup on my email, it sorts the regular invoices into a file which I check each day and just forward to my Ezzybills address. It then prepopulates a draft invoice which I check then approve. Usually the invoices are correct I may have to change a heading code or the vat amount. It has a thing for inclusive vat.

The only thing that annoys me is that if you change something in the description it won’t always type the correct word. You have to delete and start again.

I also email scans of all my postal invoices to Ezzybills

It is probably a little expensive but it works well and saves a substantial amount of time so I will keep using it.

Just set up a repeating bill for the regular amount with an end date and reconcile to your bank feed.

As @Bignor Farmer says repeating bill is best, you can set it to auto approve so the only time you touch the transaction is to reconcile it. When you set up the repeating bill use month and year as the reference, if you only use month you will have to change the reference after you have done a year as it will be repeated. I put all HP payments into a Hire Purchase heading code.

Hi I’m in process of setting up in Xero, when it come to HP repayments for bank reconciliation how do you guys do it? Given that some are half way through?
I assume you mean recording the outstanding balance at set up . That would go in HP liabilities.
Maybe best speak to your accountant to check how they like to deal with that Some like to do a figure Under 1 year & over 1 year

Big plus one for ezzybills here. I paid around 55£ for 700 invoices per year which just saw out 12 months. Cheaper than receipt bank and better, though the automation isn't infallible. I forward all emailed invoices and scan and drop all postal invoices. It's a big time saver. At less than £5 per month I think it's a bargain.
