Going rate for camping?

Evening all,

I've been approached by an archery group who use the neighbouring estates woods for an archery event over the May bank holiday weekend,

They would like a grass field to camp on for the weekend, they also want room for a large-ish marquee for some trade stands, and a mains water supply. They anticipate there will be about 800 members attending.
They would like 20-25 acres.

So how much should I be asking, it would be nice to make a few quid but don't want to take the mickey.

Give Michael a shout ;)

Make sure they are not up to mischief. Travellers setting up camp? A neighbour was approached by a "church" group for a gathering some time ago, turned out to be a traveller wedding, realised just in time.

£10 each, portaloos etc to come out of the income. I`m guessing Archery clubs have the same public liability insurance as metal detecting clubs.
If its genuine then it could be easy money for a weekend. Sounds like the woodland owners know them & trust them, I`m guessing they can`t fit 800 tents in the woods or the attendees don`t fancy "wild camping" . :)

They are a genuine group, they have been coming for years but where they normally camp isn't available this year so have approached us, the estate don't have a suitable field

Was it last year, that we had a thread about a camp site on farmland, where the folk were dressing up as animals for the weekend and playing 'adult' games?

I wonder what they said they'd be doing when they initially approached the farmer.

You will need to check with your and the clubs insurers for adequate public liability cover, and also ensure the ground has had no stock on it for 21? days. You'd better check that is correct too!

If it was highly lucrative the estate would have made sure they had a field available.Every little helps though! Bound to be worth a couple of grand.

I reckon a minimum of £10 per person for the weekend and they provide the toilets/showers themselves at that price. Also take a large deposit to cover damage/rubbish/mess/unforeseen costs. 800 is a lot of people in one spot, especially if the weather is bad. Maybe charge extra for the marquee too

Is that 800 all camping in tents or mixture of caravan and tents or 800 per day or 800 over the weekend , ?

Trade stands would come with caravans as not to be away from stock/ products
Loos...1 per80 , or 10 (£75 each )on site split between camp area and event area/ tradestands/ ice-cream van burger van
Access for service sucker lorry as by Monday morning they will stink

2 skips for rubbish ( £150 each )
1lighting tower for HQ / emergency services
Legally setuptime ( opening the gate to mark out site.......to skip lorry leaving full on Tuesday night ) will use up part of your 14 day NPDO if you have an arc@ on the council, but it's under 28days of non agricultural use so your sub is OK to claim.
Wet weather clause ( so you can call a stop to it ) on top of a field restoration deposit of £X ( because a tractor makes ruts pulling Joe public off a field ) and shows a maximum cost of ( A+ B +C ect )if you need to do a full wholefield reseEd.
Think you need livestock off field 21 days before and after ( Ecoli)

So up to you what rent to charge...... me thinks around the 3 -5 k mark

Gotta be 5000 for the hassle surely.

Talk to them first. They sound organised.

Litter, emergency services access, first aid, and discuss with your insurers!!

Get it right, make a shiling then try your hand at a mini music festival... you might enjoy it.

800 bods in one spot Id be trying to work out how to flog something. Hog roast van man, ice creal van and mobile bar if you ask me... foam party for the evening as well. Sorted.

Is it a club or a commercial venture ?

My attitude and income expectations would adjust depending on the answer to that question
