Modern version of a time sheet!

Few young chaps joined the team here and they’re utterly hopeless at keeping track of their hours. As they’re always on their phones is there an app or something that can used to keep a track. What do others do?

Don’t really want 60 emails a month to go back through and sort out. Obviously sometimes no lunch break and other days a long lunch to factor in!

Do you use Xero for accounts? If so you can give employees access to their individual time sheet on ipad or smartphone, they can fill in every day, book time off etc direct, end of month we approve timesheet and it transfers the hours direct into the payslips. Very good system and no paper involved.

Similar to Xero, I use mypaye for payroll and it has a time sheet function. There is also an android app called Timesheet which might work.

Ultimately though, if they can't write it down I doubt they will record it on an app or online... They just need to Do It!

Very important that you pull them into line. If you allow them to slip and make up later there will certainly be discrepancies, if this is regular and you ever dismiss anyone for irregularities and he can show that discrepancies were accepted as the norm you can be on a sticky wicket in a tribunal.
Make a very simple sheet detailing date, start, breaks , finish times, headline it very important must befilled in daily and sign at the bottom and hand in to the office or wage may not be paid!
Remember there are other reasons such as time directives as well for this.

Had very similar issue in the past - ended up using a whiteboard with a grid and then transfer onto timesheets over breakfast meeting (BBQ)
That way there was no way to fudge things, either, and "no timesheet then no pay" although the threat of that was enough to jog memories, never came to that

Simple A4 sheet with place of work, job done, normal hours and overtime hours, print a heap off give each lad a handful, up to them to fill in and hand in on a set date or they don’t get paid, we’re paid every 4 weeks hand time sheet in on the Tuesday of pay week

Am I missing something,m why cart you have a simple card machine in the office ,or do they not clock in at the yard

Where I used to work I used to write mine down even though my hours were always lower than what they should of been, like go to get parts, 3 hours between leaving and back and I’d put 1 hour down instead of 3, i’d Always take off the time for breaks/lunch/tea etc more than generously.
A clocking in machine was then fitted and my average hours went up by 15hours every week after, all breaks were including in the clocking in time, it also didn’t like it when you worked into the next day through the night so you would have to manually write it in!

The guys that work for us either have their own day to day diaries or especially the younger ones we supply a time sheet with 7 days on it and their name on it. Their kept where they keep their keys so they fill them in when they finish each day, havnt had a problem with it and it’s simple.

I bought a clock in machine not long ago as I was fed up with the boys being late or not writing their hours down correctly etc. Probably costing me more now in the long run as they are desperate to put as much hours in as possible but at least they are prompt in the morning and everything is kept right.

I just have an ongoing Note in my phone to keep track of times and farms and jobs then transfer it to a time sheet every Sunday night to give in on the Monday

I am not tech savy, but surely there must be a section of whatsapp where people could clock on for work with GPS proof that they are at work and not in bed. I would produce an app if I understood what one was.
