Xero - scanning invoices in.

If only farm assurance schemes were as simple and well thought out as Xero šŸ„³

It's actually a pleasure to do the books now. Attach an invoice photo or email on the app, reconcile the back statement once a month, and click send on the vat return, job done

However, with the current fert and fuel prices, won't be needing to use the excellent profit and loss reporting feature any more šŸ˜­

As mentioned above, ezzybills makes life so much easier. 99% of the time it reads and populates all columns in Xero correctly and is sitting there in drafts for approval. It literally takes seconds

So ezzybills is a standalone app not connected to xero? But basically just emails the stuff to xero? Then xero recognising it and allocates it accordingly?

Will be switching to xero asap and itā€™ll be mainly used on a desktop pc. Anybody come up with a quick way of uploading invoices? The way I see it thereā€™s two options but neither are quick and are fiddly.

1. Add a scanner to the pc and then scan each invoice as itā€™s put into the system.

2. take a picture of said invoice on my phone then email it to myself onto the pc to then open it up to upload to xero via the pc.

3. option dont upload the invoices.

So both options create extra work and multiple emails backwards and forwards as well as clogging up the camera on the phone. Yes they can be deleted once done but thatā€™s another job as well.

Am I missing anything?
Email invoices will help you here, get Dext alongside Xero and auto forward anything that has the word invoice in it from your email account to your Dext email address.

Use the Dext app on a phone to photograph paper invoices.

Also use the fetch function in Dext for utility bills, it downloads them for you then.

Will take similar time to hole punching and putting in a file, certainly no longer.

Yes, Ezzybills is a standalone app, it connects to your xero account. Just drag and drop pdf's to ezzybills and it automatically sends to Xero which recognises and allocates

Much easier if you have a business account, as you don't then have to reconcile all your personal transactions.
As @upnortheast said, it isnt a big deal to allocate some private spending transactions from the business account, but it might get tedious if you had to do everything
Fecking pen and paper simple !
Change not good.
Any experience if quickbooks easier,cheaper etc?

Probably already been said, but I just forward email with attachment invoices to xero. Most invoices arrive by email now.

Any that don't I take a picture with xero app and upload them.

Itā€™s absolutely not complicated and for making tax digital for the VAT itā€™s a doddle, so quick.

Very easy to check the return before you send it with a single click. Reconcile regularly and nothing gets missed.

All well and good, but what happens when as mine did the other day, the hard drive sh&ts itself and everything is gone. Lucky for me the small external ssd had most stuff on it:oops:

Until a couple of weeks ago i thought there was more chance of my computer system packing up rather than Apple or Microsoft etc. I have almost nothing stored on my system itā€™s either with the software provider or cloud storage.

I am now wondering if a physical copy on a hard drive may be a good idea.

I like xero but I guess I am wasting a lot of time manually entering invoice details?
I am yet to figure out this photo business.

New financial year in a couple weeks, will try to adapt
