Yep it's free. I've just started with it. I'm not sure if it's as automated as ezzybills, or maybe just takes a bit more setting up. At the moment still requires a bit of input at the hubdoc stage, I prefer the way ezzybills sends stuff straight to Xero for approval/amendment.

I do like the way you can set it up to automatically fetch online bills like BT, EE, and numerous others though. I always find it a pain to log in to each one separately and download them.

yes its free but having given it a (I admit quick) go I can't see any point in it over using the build in files feature ??

doesn't actually seem to do anything much ?

surely it must do something ? they made a big fuss about how great it would be ! maybe i've just not set it up right ?
Like you I didn't give it much time to be fair.
I should probably have another go.

I gave up quickly as needed to do a document with multiple pages and couldn't see how so went back to camscanner on my phone

I have it set up on my account, planning to give it a go as my isolation entertainment over the weekend. Currently use Ezzybills as it will read a pdf and enter it as a draft in Xero. I do find it quite a time saver. If hubdoc will do the same for free it could be useful.

let me know how you get on please - in my brief attempt it failed to read and i had to march suppliers accounts and vat rates etc all manually which saved no time at all

i may not have set it up properly though, i wax in a rush at the time

Just bought a new machine through a finance company. Paid 20% deposit plus the vat on the full purchase price. How do I claim the full vat amount in Xero? Obviously the deposit payment and vat went out together, but I can’t seem to find a way of letting me claim the full vat amount back with only paying 20% of full price?

If so probably need to do it in a similar way to setting up HP

transaction 1

line 1: total price of machine 20% vat
Line 2: less the remainder you want to pay when you get the machine 0% vat

amount to pay should be = deposit + all vat

Transaction 2

when pay the final amount put it down as 0% vat and it should all balance

the correct way of doing this would be to post the full amount to the supplier account.

you then setup a hp nominal account in xero
and make a payment for the full amount from this hp account including any interest and charges to the supplier account.
Then the payments going out of your bank account are reconciled to the hp nominal account

I do have a Hire Purchase account. Just wanted to keep my explanation simple so didn’t put in the heading codes. Plus I was having my morning cuppa so not fully awake ?

Hi Clive,

I saw your question about Hubdoc so I thought I’d join to give you my experience so far.

Xero user from last summer had to make the shift from Quicken (old off line pre Quick books) for MTD and I wanted to tie in with doing online banking which I’ve been doing for a few years, get on well with online but have to use a CSV file for bank statements as Clydesdale aren’t good for bank feeds, CSV still quite easy to do.

I was grudging the price of Xero but I’m much happier now with Hubdoc thrown in as I’m finding it a great help for me, all VAT invoices now entered up to date in Xero rather than in the normal pile.

You’ve no doubt joined it to Xero which is simple.

It certainly can read my invoices even the hand written ones from our local fuel supplier which I will say are very neat.

I do try and produce a decent quality scan ( Colour on Res. 300 dpi ) which seems to work and I save it to my computer.

Open both Xero and Hubdoc,

in Hubdoc, click upload document then Browse, find file in your computer click on it then open,

the file will start to upload and when completed start to read it.

First time Hubdoc has to do a bit of learning about each suppliers, Name, VAT rate, Category but that can all be saved, click the Save configuration box, think of that as Semi Automatic or also click the Autosync for fully automatic and it reads everything then publishes it to Xero straight away.

Did a Spaldings invoice as a test and it had it read and Published into Xero in less than a minute, complete with Name, invoice number, total amout, VAT rate, VAT amount, net amount, code/category into my Draft invoices.

Reading times can take much longer especially handwritten ones but I just load Invoices in and go and do something else or look at them the next day.

I prefer just Semi Automatic as it gives you a chance to check stuff, it did miss an invoice number for another supplier for some reason the other day and you sometimes have to correct the VAT if it’s a penny out, easy done but I’ll leave that for now as this is becoming a book

Any questions I’m happy to try and answer but I’m no expert just an ordinary (very amateur) happy Hubdoc user :)
 
i’ve been using hubdoc for a while, get on well with it. My biggest gripe is that when the VAT amounts are out, even by a penny it wont let me correct them, just throws up an error about tax amounts to not match.

So how do you correct them and avoid this?
