Get your accountant by the throat. The bill should be less as they will have hours less work if your records are already on zero.

I can guarantee, that if the bill isn't reduced this year (first full year) my wife will have hold of the accountants somewhere painful till it is.

i use Xero on 5 business some for 10 yrs now - love it, makes it really easy

Not exactly. You have options
1) email it to your xero files email then you can attach it to a bill or invoice

2) use hub doc a xero owned add on which you can use to organise bills it should read and populate a new invoice for you. TBH I tried it and found it too much of a faff

3) Use Ezzybills this is a separate add on which you pay for that I use. You email the bill to your Ezzybills account. It then uploads it as a draft into xero. It learns what you do and most of the time populates the draft correctly. You then check and approve it. It’s simple

I would say if you are new to xero start by emailing direct to your xero files and learn that system first. It doesn’t read the bill but it’s a handy way to put attachments onto bills etc. As an example if I do a finance agreement for a machine I attach all the documents on the vat invoice. This way when the accountant sees the invoice he has all he needs for the tax etc without asking me for any physical paper.

Xero - tips and tricks

Just starting to use Xero for the new tax year onwards. Set up the bank account, can create rules ok, and starting to get the hang of it. What else should I know? Any tips and trick appreciated! I'm planning to watch some of the Xero Youtube videos before long too.

How much better is ezzybills than hubdoc?
I found was no improvement and gave up quite quickly.

I just found hub doc a faff for no gain. It could well have been me, it seemed to duplicate stuff Xero was already doing.

With Ezzybills I just email the bill pdf to Ezzybills and it uploads it as a draft. It is very good at putting the right codes in the invoice lines. The more you do the more it learns. Although there are a few things it doesn’t like. Bills that are also a statement can be rejected, my AMC statements I just send straight to Xero files it’s less hassle. Hand written bills I tend to do manually. One of my machinery dealers changed their logo on the invoices. The business name is now in a curve and Ezzybills cannot recognise it. It’s easily corrected in the draft.

Mole valley don’t make things simple, their pdf invoices have a password to view. Ezzybills can’t do this so I have to open them and then print to pdf and email to Ezzybills. It’s a faff, I complain every time I speak to anyone at mole valley, apparently it’s the GDPR rules


Im used to the system now and it saves me a lot of time so I’m keeping using them
