VAT Invoice

My friend was buying a machine and asked me to price around and ring a few dealers, which I did. We decided on a machine from a dealer that I dealt with in the past. The money was transferred through the bank but I forgot to tell the garage that the machine was not for me. He sent out the invoice to me, in my name. He says now that the name cannot be changed.
Surely it is possible/legal to change it when it was an honest mistake?

It should be. He could issue a credit note to you and then re-invoice. There might be some timing implication though, like passing a time limit for some manufacturer's rebate or bonus scheme or some such. Ask.

Another issue is that accounting packages cannot backdate invoices on the whole and that the payment was made before the invoice was raised. Why that should worry a small dealer I've no idea, but it might. The taxman is a funny bugger but an explanatory note attached to the invoice or description should be sufficient. Funny buggers or not, they know that such mistakes are sometimes made. Its not that uncommon and although inconvenient, its not a problem that should be left and it is correctable.

At the end of the day you could just change the physical invoice name and address, give it to the proper person and leave it at that perhaps? It has been payed after by the right person after all.

The dealer is talking crap and is in the wrong in any event - the VAT Invoice should be made out to the company who paid the bill. Their bank statement will show who paid them the money and who the payer was - as your friend paid they are also the owner of the machine.

They just need to issue a credit note and re-invoice. They are not doing themselves any favours.

Tell him to speak to their accounts dept. Very simply then tell them HMRC have requested a copy of the VAT receipt to substantiate a VAT reclaim.

A credit note and new VAT receipt should be issued pretty quickly then :D
Or maybe tell him I'm going to contact HMRC myself about changing the name.
