In my case it's easy. Just yesterday I ordered heating oil for three houses, gas oil and DERV. All will therefore be on one invoice.
The only exception is petrol for the quad which inevitably means those nasty till receipts once every week to ten days or so. These are taken straight from the vehicle and placed in the VAT folder ready for next month's submission to HMRC

If you aren't already, consider going to one of the cloud based accounting programs. I'll input the till receipt into the account program on my phone after I get back into the car. Take a pic of the receipt and that's the last I need to see it, although I do keep the hard copy.

Not many petrol stations left that keep a tab and invoice monthly. The credit card statement is not a valid invoice from which to claim VAT. That needs an invoice or statement that includes the seller's VAT registration number.

If you have an Esso station nearby, they still do a fuel card. You get a weekly itemised email bill. Diesel is less than pump price, petrol is pump price.

No need to keep the petrol station receipts.

Does everyone just claim the full VAT back on all derv then used in farm trucks etc? We never have as our accountant said it might not work out worth it as we would have to make a payment to HMRC for the private use aspect

Depends on the vehicle, if it is classed as a car, then fuel scale charge needed if any private use. Commercial vehicle has the option of claiming the percentage of business use back.
If you would be happy to say to an HMRC inspector that there is no private use, carry on and claim the lot.
